Viewing Options in the Service Planner
Calendar View - The calendar is the default view when you open the service planner. The calendar allows you to organize and plan your projects and services for easy access by scrolling through days and months to visualize your schedule.
Within the dashboard of the service planner calendar/list view, you can see:
Active Service Plans - A contract or project's end date is still in the future.
Active Quote Requests - A quote request's end date (date of completion for the service) is still in the future.
Plans with Outstanding Tasks - The number of service plans where actions such as a quote request attachment or awarding of vendors needs to be done.
Service Planner Health Percentage - The percentage of service plans that do not have any outstanding tasks.
List View - The list view on the service planner will show you three categories:
Active - Contracts, Projects, and Quote Requests that have an end date in the future.
Completed - Contracts, Projects, and Quote Requests with an end date in the past.
Cancelled - All cancelled services with a quote request.
This list view is sorted in reverse chronological order (by what dates and/or reminders are nearest). The completed and cancelled status will sort chronologically (by the earliest end date).
Filtering in the Service Planner
Within either the Calendar View or List View, you can filter your search for particular Projects and Contracts in different ways:
Property - You can filter by the different properties you have uploaded on VendorPM.
Event Type - You can filter your search for either a Project or Contract.
Quote Request - You can filter for services that have a quote request or do not have a quote request.
More Options - You can filter using any of these options: Show Quote Request
Reminders, Show Retender Reminders, and Show End Dates, and have it appear within your layout/search.
* Note: You can also find specific events through the search bar function.
Service Plan Statuses
Project Statuses
No Quote Request - Project's quote request start date is still in the future; no quote request is attached.
* Note: Quote request start date can always be edited if needed.
Pending Quote Request - Project's quote request start reminder date is today or in the past; no quote request is attached.
* Note: You can click on the date/service within the calendar or list view and start the quote request process.
Quote Request Attached - Quote request is attached to project. The project start date is in the future.
Ongoing - Project start date is in the past or has not ended. The project end date is today or in the future.
Completed - Project end date is in the past.
* Note: You can now Retender or Extend the Quote Request.
Cancelled - Respective quote request has been cancelled.
* Note: You can now Retender or Extend the Quote Request.
Contract Statuses
No Quote Request - Contract's quote request start date is still in the future; no quote request is attached.
* Note: Quote request start date can always be edited if needed.
Pending Quote Request - Contract's quote request start date is today or in the past; no quote request is attached.
* Note: You can click on the date/service within the calendar or list view and start the quote request process.
Quote Request Attached - Quote request is attached to contract; contract start date is in the future.
Ongoing - Contract start date is in the past or today; contract end date is today or in the future.
Retender/Extend - Contract's retender or extend date is today or in the past. The contract's end date is in the future.
* Note: Clicking Retender will take you straight to the Marketplace to begin the quoting process. Choosing Extend will allow you to edit the the End Date of the contract.
Completed - Contract's end date is in the past.
*Note: You will have the option to Retender or Extend the Quote Request.
Cancelled - Its respective request for quote has been cancelled. You can view the details of the cancelled quote request by clicking into the contract and going to view quote request.
Quote Request Statuses
Ongoing - Request for quote deadline is in the future (this can be edited if needed).
Award Vendor - Request for quote deadline has passed. Quotes have been submitted; no vendor has been awarded.
You can view the details of the cancelled quote request by clicking into the contract and going to view quote request.
Completed - Request for quote has been awarded to the vendor or its respective contract/project's end date has passed.
Cancelled - Request for quote has been cancelled.
You now have the tools to successfully manage the statuses and filter options available on the service planner.
